The short answer
Clearinghouse work starts with the employer account, correct user role, query purpose and consent. An assigned provider role does not remove the employer’s responsibilities.
Identify the request before ordering
Separate employer setup, driver assistance, query work and reporting. Use the current Clearinghouse job aids to establish which user performs each step.
Keep consent tied to the function
Confirm the query type and applicable consent before proceeding. Keep the employer, driver roster, purpose and query record aligned so a later review can follow what occurred.
Define SafePass’s role
The current launch offer is query assistance within assigned permissions. Violation reporting, medical judgments and return-to-duty decisions are not included. A request involving those issues needs the appropriately responsible party.
What to prepare
- Employer and existing account-role status.
- Driver roster and the query purpose.
- Consent status and the requested timing.
- Assigned employer contact for results and follow-up.
What can delay or complicate the work
- A provider has an account but lacks the employer designation.
- Query scope and consent do not match.
- Treating a query result as the complete driver qualification process.
A practical review sequence
- Identify the exact request, entity and period.
- Compare available records and list missing facts.
- Agree on the supported work, permissions, provider steps and fees.
- Retain completion evidence and unresolved follow-up.
SafePass’s role
SafePass can review a request and scope supported administrative preparation, record organization or provider coordination. Availability is confirmed for the service and jurisdiction. The employer, qualified provider and responsible agency retain their own decisions and duties.
